| Abstract Submission Guidelines |

Abstract submissions will open July 15, 2008.
The 2009 Miami Breast Cancer Conference (MBCC) is accepting abstracts for consideration for poster presentations. Abstracts will be selected by the Conference Program Committee for presentation at the 2009 MBCC.They, along with slide presentations and posters, will be available for viewing online at the MBCC Web site.
Awards will be given for the most outstanding abstracts.
Deadline for submission is January 15, 2009, 11:59 pm CST.
Overall Program
The scientific program consists of invited lectures and a Minisymposium presented by experts in breast disease and breast cancer. MBCC poster sessions will be held in the Exhibit Hall/Pavilion. Breakfast and refreshment breaks will also be held in the Pavilion.

Hours
Wednesday, March 4: 6:00 pm-8:30 pm, in conjunction with a reception. The presenter is required to attend and present the poster during this time.
Other poster viewing hours:
Thursday, March 5: 7:00 am-7:30 pm (Please note that a reception will be held from 6:00 pm-7:30 pm.)
Friday, March 6: 7:00 am-5:00 pm
Saturday, March 7: 7:00 am-10:30 am

Rules for Preparation and Submission of Abstracts
All abstracts must contain original unpublished data and analysis. Categories of submission include:
- Surgical Oncology
- Radiation Oncology
- Pathology
- Medical Oncology
- Imaging/Radiology
- Basic Biology
- Epidemiology Risk Assessment/Prevention
- Survivorship
- Other
The Conference Program Committee might recategorize an abstract if it is deemed appropriate to do so.

Responsibilities of Abstract Presenter(s)
| 1. |
The presenter will be the contact person for all correspondence about the abstract and will keep coauthors informed about its status. The presenter does not need to be the first author. The presenting author should be designated with underlined text. |

| 2. |
The presenter must complete and sign the Presenter Conflict of Interest Disclosure on behalf of all of the coauthors. The submission process is not complete until this has been done. Abstracts received without a properly completed and signed disclosure will NOT be considered. |

| 3. |
The presenter accepts responsibility regarding the MBCC No-Show Policy. |
| |
|
| 4. |
The presenter accepts responsibility regarding the MBCC Publication and Embargo Policy. |
| |
|
| 5. |
The presenter accepts responsibility on behalf of all coauthors and has the authority to provide permission to reproduce the poster. |
| |
|
| 6. |
Expenses (eg, registration, transportation, and lodging) associated with the submission and presentation of an abstract are the responsibility of the presenter. |

|
| 7. |
Submission of an abstract constitutes a commitment by the authors to present it if accepted. The authors must be present on Wednesday, March 4, 2009, from 6:30 pm-8:00 pm. |

Abstract submission(s) should include the following:
Abstract Title
An abstract must have a short, specific title (containing no abbreviations) that indicates the nature of the investigation.
Author Name(s)
The submitting author is designated as the primary/presenting author. You may rearrange the order of the authors; however, always list the senior author last:
- If an author's name appears on more than 1 abstract, the name must be identical on each abstract.
- There is no limit to the number of abstracts upon which an author’s name can appear.
- Additions or deletions of author names are not permitted after January 29, 2008, 5:00 pm CST.
Abstract Data
- Submit all abstracts in English.
- Proofread abstracts carefully to avoid errors before submission. The abstract will be published exactly as it has been submitted.
Abstract Text
- Describe briefly the objectives of the study unless they are contained in the title. Include a brief statement of methods if pertinent. State findings in detail sufficient to support conclusions. Abstracts should not describe research in which the chemical identity or source of the reagent is proprietary or cannot be revealed.
- Use generic drug names.
- Do not begin sentences with numerals.
- Standard abbreviations can be used without definition. Nonstandard abbreviations (kept to a minimum) must be placed in parentheses after the first use of the word or phrase abbreviated.
- Do not include references, credits, or grant support.
- Do not include the names or personal information of any patient participating in the study or trial.
- Abstracts are limited to 3000 characters (approximately 1000-1200 words). This includes the text plus any graphic/table but not the title or authors. Punctuation counts as a character. Spaces do not count as characters.

Abstract Revisions
After the deadline, abstracts cannot be revised or resubmitted. Proofread abstracts carefully to avoid errors before submission.

Abstract Withdrawal
Submit abstract withdrawal requests in writing by February 15, 2009.

Abstract Acceptance
- Abstract grading is blinded, and abstracts are selected on the basis of scientific merit.
- Abstract acceptance/nonacceptance status will be available January 20, 2009. You will be notified in either case. The MBCC suggests that you register and make travel plans early. The MBCC will waive any registration penalties if you need to cancel should your abstract not be accepted.

Presentation
- All abstracts submitted are for consideration for a poster session only. There will be a poster session, and the presentation will be in a question-and-answer format conducted in English scheduled for Wednesday, March 4, 2009, from 6:30 pm-8:30 pm.
- The accepted abstract will be published in the on-site program guide and online. The MBCC reserves the right to publish the abstracts in other media.
- The MBCC reserves the right to all video or audio recordings of presentations at the conference.
- Poster sessions will end Saturday, March 7, 2009, at 10:30 am. All posters must be removed by 12:00 pm. Please plan to pick up all posters from 10:30 am-12:00 pm. If you have not removed your poster by 12:00 pm, MBCC will remove and discard it. If you require your poster and are not on-site, please make other arrangements to have your poster shipped to you.
- The MBCC will provide 1 poster board and tacks for your poster. Dimensions are 4’ × 8’ vertical. (Click here [Design: insert link to sample] to see a sample poster board.)

No-Show Policy
- Please notify the Conference Director as early as possible if your presentation will not be made, and refer to your assigned program number.
- If a scheduled presenter fails to appear in person or to send a replacement and does not cancel the poster or slide presentation before the meeting, that presenter will be barred from having an abstract accepted for the MBCC for 1 year.

Publication and Embargo Policy
Violation of the following requirements will result in the withdrawal of the involved abstract from any MBCC presentation:

By submitting an abstract for the 2009 MBCC, the presenter verifies that the abstract’s original content and its conclusions have not been published or presented before the 2009 conference. |

| 2. |
All authors must comply with the conference embargo policy, which states that no author is to provide information regarding the abstract or related research to be presented during the conference to the media or public prior to the scheduled time of presentation at the 2009 MBCC. |
